General Refund Policy

Due to the nature of custom software development and digital services, refunds are handled on a case-by-case basis. Our refund policy is designed to be fair to both our clients and our business, taking into account the work completed and resources invested.

Important Note:

Once work has commenced on a project, refunds are generally not available for completed milestones or deliverables. However, we are committed to working with clients to resolve any concerns or issues that may arise.

Refund Eligibility

You may be eligible for a full or partial refund in the following situations:

1. Project Not Started

If we have not commenced work on your project and no deliverables have been provided, you may be eligible for a full refund minus any non-refundable deposits or administrative fees (typically 10% of the project value).

2. Service Not Delivered

If we fail to deliver the agreed-upon services within the specified timeline without valid reason, and you choose to cancel the project, you may be eligible for a refund of any payments made for undelivered work.

3. Material Breach of Contract

If we materially breach the terms of our service agreement and fail to remedy the breach within a reasonable timeframe after notification, you may be eligible for a partial or full refund.

4. Duplicate Payment

If you accidentally make a duplicate payment, the duplicate amount will be refunded in full.

Non-Refundable Situations

Refunds will NOT be issued in the following circumstances:

  • Completed Work: Once a milestone or deliverable has been completed, approved, and delivered, it is non-refundable.
  • Change of Mind: If you simply change your mind about the project after work has commenced.
  • Scope Changes: If you request changes to the project scope that result in additional work or delays.
  • Client Delays: If project delays are caused by late feedback, approvals, or provision of required materials from your end.
  • Third-Party Services: Costs for third-party services, licenses, or tools purchased specifically for your project (e.g., hosting, domains, premium plugins, APIs).
  • Subjective Preferences: Refunds based solely on subjective design or aesthetic preferences after approval of mockups or prototypes.
  • Technical Limitations: If technical limitations of chosen platforms or technologies prevent certain features (when disclosed upfront).

Refund Request Process

To request a refund, please follow these steps:

Submit a Written Request

Send an email to refunds@notelia.com with your refund request, including:

  • Project name and reference number
  • Reason for refund request
  • Supporting documentation (if applicable)
  • Original payment receipt or invoice number

Review Period

We will review your request within 5-7 business days and may contact you for additional information or clarification.

Decision Notification

You will receive a written response regarding the approval or denial of your refund request, along with an explanation.

Processing

If approved, refunds will be processed within 10-15 business days to the original payment method.

Partial Refunds

In cases where work has been partially completed, we may offer a partial refund calculated as follows:

Refund Amount = Total Paid - (Completed Work Value + Non-Refundable Fees)

The value of completed work will be assessed based on:

  • Milestones or deliverables completed
  • Hours worked (for hourly projects)
  • Resources invested (design, development, testing)
  • Third-party costs incurred

Project Cancellation

If you wish to cancel a project:

  • Before Work Starts: Provide written notice at least 48 hours before the scheduled start date. A 10% administrative fee may apply.
  • After Work Starts: You will be charged for all work completed up to the cancellation date, plus any non-refundable third-party costs.
  • Mid-Project: We will provide an itemized invoice for completed work. Any remaining balance after deductions may be refunded.

We reserve the right to cancel projects if:

  • Payments are not received as scheduled
  • Client fails to provide necessary materials or feedback
  • Client breaches the terms of the service agreement

Dispute Resolution

If you disagree with our refund decision, we encourage you to:

  1. Contact our customer service team to discuss your concerns
  2. Request a review by senior management
  3. Provide any additional evidence or documentation

We are committed to finding fair and reasonable solutions to any disputes.

Payment Method Specific Terms

  • Credit/Debit Card: Refunds will be credited to the original card within 5-10 business days.
  • Bank Transfer: Refunds will be processed to the original bank account within 7-15 business days.
  • Digital Wallets: Refunds will be processed according to the wallet provider's policies.
